Appropriateness is one of the characteristics of the information which means that information needs to be relevant to meet the specific requirements of the task in which the information is to be used. For example, in a national super market chain, the report of the purchased products, products that are ordered in case of unavailability and rate at which the products are sold are important to CEO in an appropriate format at the end of each month. However, customer information is inappropriate to the CEO. 2. The value of information is subjective and depends on a number of factors. Explain, using an example, how an organisation could determine the value of its customer information database. The value of information is subjective and depends on the context and the intended use of the information. For example, to determine the value of customer information database, an organisation needs to organise the customer information database in an understandable format because if the information is not understandable then it is of no use. The style and the format of the information must be suitable for the recipient’s knowledge and literacy. Moreover, the information needs to be available when the information is needed if the information arrives early then it will be over looked and if it arrives late, then it will be of little use. Furthermore, the information needs to be accurate to meet the requirements of the task, inaccuracy leads to failure. Lastly, information needs to be presentable, it should be clear and simple is mostly valued. 3. The information life cycle has three major components; Creation, Existence and Termination. Give a brief explanation of each of the components and provide an example as to what happens in each component. The information system life cycle starts with creating the information from three main source: information received from outside the organisation, information created within the organisation or information sent to the external environment from the organisation. In capturing the information is important to identify the entities about which information is needed for example, customer, product and supplier. Secondly, defining the attributes of the entity for example, name of the customer or address of the customer. Thirdly, create a structured format in which to capture the information for example: an order form. Lastly, develop a procedure for capturing the information for example: when customer place an order, complete and order form and pass the form to the finance department. When an information has been captured, it has to be stored in such a way that the information can easily be located and retrieved when needed which comes under existence. Storing the information involves three stages. Firstly, define the categories to index information for example, all orders sent to suppliers can be in one file, whereas orders received can be in one file and orders that are not received are in separate files.
